Terms & Conditions
As a potential and actual guided adventure (henceforth “trip”) participant, we, Leaping Hound Travel (“Trip Operator”), highly recommend you read through the following information. All trip participants are REQUIRED to abide by the rules described therein and, upon purchase of a trip, agree to be bound by the terms described herein.
I authorize Leaping Hound Travel to charge the credit card or bank account indicated on this invoice for the noted amount on today's date. This payment is for the services described on the invoice. I understand that returns, refunds, and cancellations are at the discretion of Leaping Hound Travel. I certify that I am an authorized user of this credit card and that I will not dispute the payment with my credit card company, so long as the transaction corresponds to the terms indicated on this invoice.
RESERVATIONS AND DEPOSITS:
A deposit of $495 per person is required in order to hold a reservation on the trip, paid within 7 days of your notification of acceptance. Confirmation will be sent after the deposit has been received. Deposits and all payments must be made by credit/debit card (VISA, MasterCard, AmEx, and Discover). Agreement to the terms and conditions on this page is also required, and agreement is confirmed by signing the application form.
APPLICATION DEADLINE: The Application Deadline is March 8, 2023
PAYMENT SCHEDULE:
$495 deposit will be billed upon acceptance (due within 7 days of receiving your application), as stated above. $1495 due March 15, 2023. Final payment must be paid in full May 1, 2023, unless your payment plan states otherwise.
FULL PAYMENT: All payments must be made in full before trip departure. This includes the trip itself, along with any extra flights, options, or services arranged before the trip. We cannot accept anyone on the trip with an open balance. All prices include taxes and fees.
DISCOUNTS: Any money off due to discounts or promotions will be applied to the final, May 1, 2023, payment (not the deposit or the March 15 payment).
CANCELLATION AND REFUNDS:
Cancellation and refund requests must be submitted to Trip Operator promptly and directly via email to [email protected]. Refund requests submitted via any other method WILL NOT BE HONORED.
The following charges will apply based on when Trip Operator receives the cancellation with respect to the Sign-up Deadline (all fees are per person):
30+ Days until Sign-up Deadline: full refund, minus a 4% processing fee
29 Days or Fewer until Sign-up Deadline: no refund of the $495 deposit; full refund of any additional payments made, minus a 4% processing fee
After Sign-up Deadline: No refunds – no exceptions.
If the Trip Operator must cancel the trip prior to departure, all guests will receive the option of: a full refund of the amount paid to Leaping Hound Travel; or, applying the amount paid to Leaping Hound Travel to another available Leaping Hound trip. Leaping Hound Travel is not responsible for, and cannot refund, any deposits or expenses paid by any guest to any third-party entity including, but not limited to, airlines and restaurants. Leaping Hound Travel requires guests on this trip to purchase third-party travel insurance; we will provide you a quote from Travel Insured International after booking.
NAME CHANGES: Reservations and package components are non-transferable. The Trip Operator will make a reasonable effort to accommodate changes to guest names prior to departure provided that at least one member of the originally-booked party travels; however, Trip Operator reserves the right to pass on to you any third-party costs (such as from airlines or suppliers [as defined herein]) incurred in so doing.
DEPOSIT TRANSFERS: Should an offer be made by Trip Operator to transfer your funds to another trip, this offer is only valid for 30 days. If there is no response after 30 days, the offer will be canceled.
ROOM SHARING: All rooms on trips, unless otherwise specified, are double occupancy. If you are traveling with someone, BOTH of you must list each other’s names on your registration forms in order to be paired as roommates. If you are traveling alone, you will be given the option to pay extra for a single-room supplement or be paired with a roommate by Leaping Hound staff.
MEDICATIONS: Trip participants using medication during the duration of the trip are responsible for understanding and abiding by foreign travel restrictions on medication. Trip Operator does NOT accept responsibility for care of your medicines and cannot be held liable if you are denied entry into an international destination. If you are arrested or detained due to a violation of these laws, Trip Operator is NOT responsible for your care, your travel home, and any expenses incurred - you are on your own.
TRAVEL INSURANCE: You will be sent a quote for travel insurance through Travel Insured International upon booking. In order to maintain your booking, you must purchase this travel insurance policy within 14 days of receiving it. This travel insurance policy includes a 75% "Cancel for Any Reason" option, whereas you will have the ability to cancel 48 hours or more before your departure and receive a 75% reimbursement of any trip payments made to Leaping Hound Travel. It also includes medical benefits, and others--a policy guide will be included when you receive your quote. Trip participation is “AT RISK”, meaning that YOU are responsible for your own insurance. Leaping Hound Travel will NOT be held responsible for illness, injury, or death while participating in trip activities.
PAYMENT PLAN: The initial $495 deposit must be paid in full in order to hold your spot on the trip. If you would like to arrange a payment plan for the remaining trip balance, please email [email protected]. If payments are more than 14 days late, an overdue payment fee of 10% of the payment amount (amount of the single payment, not the whole trip) will be charged. Customers that opt for the payment plan and stop making payments WITHOUT notifying Trip Operator or formally requesting a refund within 14 days of the earliest missed payment deadline will not receive a refund of their deposit, even if a deposit refund is available under the general Leaping Hound Travel refund terms.
VISAS: Trip Operator will assist in obtaining required visas and in providing links to the necessary applications for guests traveling with the trip. Visa applications are the responsibility of the participant.
BAGGAGE: Each person is responsible for carrying and managing their own luggage, and for checking airline regulations.
PARTICIPATION: We have the right, but not the obligation, to deny participation to any Participant and to remove from any Trip, at the Participants’s sole expense, any Participant whose condition is such that he or she could create a hazard to himself or herself, the Trip Operator or other guests or otherwise substantially impacts the enjoyment of other guests or disrupts the trip.
If you are arrested or detained due to a violation of any laws of the host country, the Trip Operator is NOT responsible for your care, your travel home, and any expenses incurred.
ELIGIBILITY: Trips require participants to be in good health. Step climbing and walking on cobblestone streets are common on most programs and wheelchair access is not guaranteed, so please notify Trip Operator if you have any health conditions that may impact your participation in the trip. Any disability or condition requiring special attention must be reported to Trip Operator at the time of booking; Trip Operator cannot guarantee that any accommodations will be made for any conditions that are not reported.
MEALS AND PERSONAL EXPENSES: Most trips do not include fees for meals and personal expenses (shopping, miscellaneous purchases, etc.). Some meals, as noted in the program itinerary for your particular program, will be included, but not all; any "included" lunches or dinners listed in the program itinerary will consist of one entree and one alcoholic or non-alcoholic drink of choice per person.
ITINERARIES: Deviations to the planned itineraries shown in published sources may occur, even though every effort will be made to keep them as they are presented. In case it is necessary to substitute sightseeing, due to unforeseen circumstances, we will do all possible to provide excursions that are most similar to the original schedule, and there will be no refunds for such itinerary changes. In addition, we reserve the right to substitute hotels as necessary and any such change will not result in eligibility for refund.
CONSENT TO BE PHOTOGRAPHED: By participating in a Leaping Hound Travel itinerary, you consent to having your name, face, likeness, voice and/or appearance captured in any photographs and videotapes (or portions thereof) in any format, including, but not limited to, print, digital, or film media now existing or hereafter developed, and you further acknowledge and agree that such photographs and videotapes (or portions thereof) may be shared with other participants in the adventure. You also agree that any such photographs and videotapes taken outside of the United States may be transferred to the United States. Leaping Hound Travel reserves the right to use photos taken on a trip for promotional purposes including on the company website and on Leaping Hound Travel social media accounts. Trip participants will have the option to opt-out of this consent and can do so by emailing [email protected].
TRIP CONTENT AND ADJUSTMENTS: All trips run by Leaping Hound Travel are designed with flexibility in mind. Trip guests are welcome to deviate from the planned trip activities and go elsewhere. If a guest chooses to deviate from any part of the itinerary, they MUST contact Leaping Hound Travel in advance. In these cases, the following rules apply:
1. All additional arrangements and information requests are subject to additional charges. Small requests (such as directions) are complimentary within reason.
2. Leaping Hound Travel is entitled to reject any request which is unfeasible, unworkable due to time constraints, or could pose a threat to the structure of the main trip.
3. Leaping Hound Travel is not responsible – and CANNOT be held liable – for the quality and/or integrity of ANY non-trip activities.
4. In the case that a guest decides they cannot attend a trip due to Leaping Hound Travel’s inability to fulfill a special request or deviation from the scheduled trip, all standard refund policies remain in effect. All guests who leave a trip for these reasons are not entitled to any refunds, special treatment, or compensation. Furthermore, any discounts used (if any) in the purchase of said activities will be forfeited regardless of the date of cancellation.
5. In the case that anyone’s alternative activities or trip deviations affect the overall trip and/or the enjoyment of other trip guests, Leaping Hound will put the needs of the trip first in every case. If, in the process of organizing their own alternative activity, any guest ends up affecting the enjoyment of the trip for other guests and/or attempts to keep the guide(s) from their duties (“hijacking”), Leaping Hound Travel reserves the right to discipline the offending guest(s), up to and including REMOVING THEM FROM THE TRIP. In this case, the removed participant is not entitled to a refund of any kind and forfeits the right to take legal action against Leaping Hound Travel or any of its partner companies or suppliers.
RESOLUTIONS AND DISPUTES: In the event legal or equitable action is initiated concerning Leaping Hound Travel, the exclusive venue of such action will be solely in Wisconsin.
GOVERNING LAW: This Agreement shall be governed by, and construed in accordance with, the laws of the State of Wisconsin, without reference to its conflict of laws provisions or rules of construction concerning the draftsman hereof.
RESPONSIBILITIES AND LIABILITY: Leaping Hound Travel is the Trip Operator responsible for arranging and providing all the services and accommodations offered in connection with these trips. The Trip Operator acts on behalf of Independent travel suppliers associated with the trip, such as hotels and train or bus companies. Although we endeavor to choose high-quality suppliers, we don’t have the right to control their operations, and therefore Leaping Hound Travel makes these travel arrangements upon the express conditions that we, our agents, employees and affiliates shall not be liable for any delay, mishap, inconvenience, expense, irregularity, bodily injury, illness, emotional distress, death or damage or loss to property occasioned through the conduct or omission or default of any supplier, each of which is subject to the laws of the state or country where the service is provided. Accordingly, participant(s) agree to seek remedies directly with the suppliers and not to hold the Trip Operator liable for any loss, injury, delay, or expense which results directly or indirectly from any action or omission, whether negligent or otherwise, of any entity providing goods and services for the trip. Participants also agree not to hold the Trip Operator liable for circumstances beyond its control (e.g. force majeure, acts of god, earthquakes, natural disasters, flight and rail delays, etc.). In the event that a Trip Participant loses a public transit pass, entry ticket to an activity, or other type of ticket given to them by Leaping Hound Travel in order to participate in trip activities, the Trip Participant will be fully responsible for the cost of replacing the ticket or pass. Participant(s) acknowledge that neither the Trip Operator, nor its agents, have made any representations or promises with respect to the trips described herein, except as expressly set forth in the Trip Operator’s brochure, unless such agreement is in writing and signed by an officer of the Trip Operator. At any time, the Trip Operator may decline, for any reason, any person as a Trip Participant on a trip (or option), whereupon the Trip Operator’s only obligation shall be to refund to that person the portion of payment allocable to the unused services.
